Accounts Executive (Payable)

About the Role Sunway Putra Hotel Kuala Lumpur is seeking a dedicated and detail-oriented Accounts Executive (Payable) to join our Finance team. In this role, you will be responsible for managing the hotel's accounts payable function, ensuring timely and accurate processing of supplier invoices, maintaining proper financial records, and supporting efficient payment operations. This full-time position offers an excellent opportunity to contribute to the hotel's financial integrity by ensuring compliance with company policies, strengthening supplier relationships, and supporting the smooth operation of the Finance Department. What You’ll Be Doing Receive and verify all signed supporting documents for goods and services recorded in the previous day's Receiving Report. Maintain complete supplier files and supporting documentation pending receipt of invoices. Process and record supplier invoices accurately in the accounting system. Match supplier invoices against receiving records and approved purchase orders before processing. Liaise with the Purchasing Department to investigate and resolve discrepancies between purchase orders, delivery notes, and supplier invoices. Review and verify the accuracy of expense account allocations and General Ledger coding. Reconcile supplier statements regularly and investigate any outstanding or reconciling differences. Ensure all paid invoices, petty cash receipts, and related documents are appropriately stamped or marked as "PAID" after payment. Prepare payment schedules in accordance with hotel policies and submit them for approval. Prepare cheques, remittance advice, and supporting documents for verification and approval. Process and record urgent cheque requisitions when required. Maintain accurate records of cheque issuance, collection, and outstanding cheques. Ensure all cheque books and unused cheques are kept securely and used in strict numerical sequence. Liaise with the Finance Shared Service Centre (FSSC) to ensure timely and accurate supplier payments. Review and clear outstanding reconciling items in supplier reconciliations. Maintain proper filing and custody of accounts payable records and supporting documentation. Assist with month-end closing activities and provide documentation required for internal and external audits. Support continuous process improvements and carry out additional duties as assigned by Management. What We’re Looking For Bachelor's Degree or Diploma in Accounting, Finance, or a related discipline. Minimum 2–3 years of experience in Accounts Payable or a similar accounting role, preferably within the hospitality industry. Good understanding of accounts payable processes, invoice matching, supplier reconciliations, and payment processing. Familiarity with accounting systems and Microsoft Office applications, particularly Microsoft Excel. Strong attention to detail with excellent numerical and organizational skills. Ability to prioritize tasks, meet deadlines, and work effectively in a fast-paced environment. Good analytical and problem-solving skills with the ability to identify and resolve discrepancies. Strong communication and interpersonal skills with the ability to collaborate effectively with internal departments, suppliers, and external stakeholders. Knowledge of Malaysian taxation and statutory requirements related to accounts payable is an added advantage.
