Join DWF and play a key role in driving billing excellence across a complex portfolio of insurance matters, including Lloyd's of London and international insurer clients. We're looking for a detail-oriented and proactive Billing Specialist to join our General Insurance team in Sydney. About the Role As a Billing Specialist , you'll take ownership of the end-to-end billing process across a portfolio of insurance matters, with a particular focus on Lloyd's of London and overseas insurers. Working closely with Partners, Lawyers, Legal Assistants, and Finance teams, you'll ensure invoices are prepared, processed, and issued accurately and efficiently. This is a highly specialised role requiring knowledge of insurance billing practices, including London Market billing, deductible and excess billing, slip-based invoicing, GST treatment, and insurer-specific requirements. Your contribution will directly support improved billing performance, stronger cash collection outcomes, and enhanced client service. What You'll Be Doing Billing Management · Partner with fee earners to manage the billing cycle from WIP review through to invoice submission. · Review and analyse work in progress (WIP) to identify matters ready for billing. · Prepare draft invoices in line with client billing arrangements and insurer requirements. · Resolve billing queries, write-offs, write-downs, and invoice adjustments with relevant stakeholders. · Ensure invoices are issued accurately and within agreed billing deadlines. · Monitor aged WIP and support improvement of billing performance. · Maintain detailed billing records, matter notes, and supporting documentation. London Market & Insurance Billing · Prepare invoices for Lloyd's of London syndicates and overseas insurers. · Apply appropriate GST and taxation treatment based on insurer location and billing arrangements. · Manage complex slip-based billing involving multiple participating insurers. · Allocate costs accurately between syndicates and co-insurers based on agreed percentages. · Interpret insurer, broker, and claims administrator billing requirements. · Issue invoices through relevant platforms, brokers, claims administrators, or insurers. · Coordinate billing activities with cover holders, brokers, and claims management agents. Stakeholder Management · Build strong relationships with Partners, Lawyers, Legal Assistants, and Finance teams. · Act as the primary billing contact for designated practice groups. · Collaborate with Credit Control and Client Compliance teams to ensure billing accuracy. · Work closely with international stakeholders, including London Market brokers and underwriters. · Provide guidance and support to fee earners on billing best practices and requirements. Billing Compliance & Quality · Ensure invoices comply with client billing guidelines, engagement terms, and protocols. · Verify billing data, matter information, and tax treatment before invoice issuance. · Maintain exceptional attention to detail across billing calculations, time entries, and disbursements. · Support billing audits and reporting requirements. Reporting & Continuous Improvement · Monitor billing volumes, aged WIP, and invoicing backlogs. · Support month-end and year-end billing activities. · Assist with billing analysis and reporting. · Contribute to initiatives that improve billing efficiency and operational performance. Key Skills & Experience · Proven experience in legal billing, professional services billing, or insurance billing. · Strong understanding of WIP management and invoice preparation. · Experience partnering closely with fee earners and legal teams. · Exceptional attention to detail and analytical capability. · Strong verbal and written communication skills. · Ability to manage multiple priorities and meet competing deadlines. · Intermediate to advanced Microsoft Excel skills. Highly Regarded · Experience billing Lloyd's of London insurers or London Market clients. · Knowledge of insurance claims management and insurer billing structures. · Understanding of GST requirements relating to domestic and overseas insurers. · Experience with slip-based billing and co-insurance arrangements. · Familiarity with Elite 3E or similar legal practice management systems. · Previous experience in a law firm or insurance services environment.
