Job Summary: The HR & Administration Officer is responsible for supporting HR operations and administrative activities to ensure effective workforce management and compliance with company policies and procedures. The role oversees attendance and overtime administration, training coordination, recruitment and onboarding support, inventory control, and other administrative activities to support factory operations Key Responsibilities: Time Attendance & OT Administration Monitor and verify employee attendance and overtime records in compliance with RJC requirements. Prepare weekly and monthly reports on working hours and overtime to ensure compliance with company and RJC standards. Coordinate with department supervisors regarding overtime approval and attendance-related matters. Verify attendance and overtime data for payroll processing Training & Development Coordinate annual skill development training programs for production employees. Arrange training sessions, training materials, venues, and coordinate with internal and external trainers. Stock & Asset Control Manage employee uniforms, safety shoes, water bottles, mugs, lanyards, locker keys, and related company assets. Maintain inventory records and prepare monthly stock reports. Coordinate annual purchasing requirements with the Purchasing Department. Monitor and control employee locker allocation and usage. Recruitment Support Support recruitment activities and new employee onboarding for factory operations. Prepare uniforms, employee kits, locker keys, and parking stickers for candidates and new hires. Ensure walk-in applicants complete application forms accurately. Prepare monthly manpower reports. Purchasing Administration Support purchasing activities for factory operations, including purchase requisitions and vendor documentation. Coordinate invoice submissions and purchasing-related records. Prepare vendor comparison reports and monthly expense tracking reports. Qualifications: Bachelor’s degree in business administration, Human Resources, Supply Chain Management, or related field. Proven experience in purchasing, procurement, or supply chain management and human resources. Strong negotiation skills and the ability to build and maintain supplier relationships. Knowledge of sourcing and procurement techniques as well as a good understanding of legal contracts. Experience in human resources functions such as recruitment, employee relations, and HR administration. Strong negotiation and interpersonal skills. Excellent organizational and multitasking abilities. Able to communicate in English. Key Competencies: Knowledge of labor laws and regulations is a plus. Analytical mindset with the ability to make data-driven decisions. Proficiency in MS Office (Excel, Word, PowerPoint) and HR software systems. Attention to detail and accuracy in record-keeping. Ability to work effectively both independently and as part of a team. Working time: Mon- Thu 08.00 - 18.30 Fri 08.00-17.45, Overtime: 1 Saturday in month (if have)
