Senior School SLT Secretary Start working: Immediately Summary: As a Senior School SLT Secretary supporting the Leadership Team at Brighton College Bangkok, your primary responsibility will be to provide administrative support to the Deputy Heads, Academic and Pastoral, of the Senior School. You will also play a crucial role in maintaining effective communication with parents and other stakeholders, ensuring a seamless experience for all parties involved. Key Responsibilities: Administrative Support: Assist the Deputy Heads, Academic and Pastoral, with daily administrative tasks, including managing their calendar, scheduling meetings, and handling correspondence. Assist with pupil attendance and punctuality records and communication. Organise and maintain academic and pastoral records, reports, and other documentation as needed. When required, take minutes of meetings and record them using internal systems. Other administrative duties/tasks as directed by the Head and Deputy Heads as required. Support the Deputy Heads of the Senior School in carrying out duties related to attendance, lateness and pupils missing from lessons. Liaison with Parents: Serve as a point of contact for parents, addressing inquiries, concerns, and requests in a professional and timely manner. Collaborate with the Academic Leadership Team to coordinate parent-teacher meetings, conferences and special events. Act as translator (Thai-English, additional Mandarin would be a benefit) in parent meetings when required. Organise meetings with parents for the Deputy Heads. Handle sensitive and confidential information with utmost discretion and professionalism. Support Senior Deputy Heads in communication with parents, written, over the telephone or face to face. Communication: Maintain effective communication with the Senior Personal Assistant, academic staff, and other relevant stakeholders. Prepare and distribute communication materials, such as newsletters and announcements, to parents and staff members. Support with the distribution of academic reports. Data Management: Assist in managing and updating academic data and pupil records as required. Event Coordination: Support in planning and executing academic and pastoral events, including seminars, workshops and school presentations. Coordinate logistics for these events, such as scheduling, venue booking and resource allocation. Support assembly preparations and bookings meeting room. Team Collaboration: Collaborate with other administrative staff and academic team members to ensure the smooth operation of the academic department. Assist the Senior PA when necessary to ensure consistent support for the Senior School. Qualifications : Bachelor's degree preferred, with a focus on business administration, education, or a related field. 1-2 years of experience as a Secretary, Personal Assistant, or School Admin. Proven experience as an executive assistant, personal assistant, or similar role, preferably in an educational setting. Excellent English and Thai communication skills, both verbal and written, with the ability to interact professionally with diverse stakeholders. Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively. Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other relevant software applications. Discretion and integrity when handling confidential information. Ability to work independently with minimal supervision and as part of a team. Flexibility and adaptability to handle changing priorities and work under pressure. Knowledge of school administration procedures and protocols is an advantage.
