About the role Responsible for carrying out all aspects of daily administrative duties. Key responsibilities Collect childcare expenses from parents at the end or beginning of the month and maintain accurate records of all payments Assist the Principal to contact parents for registration, handle parents' enquiries, and call up parents on waiting list periodically Assist and ensure that parents fill all necessary forms and submit all essential documents as required by ECDA Verify all photocopied documents submitted by parents against original copies Ensure that all information and documents required by ECDA for enrolment via Child Care Link are complete, in order and submitted on time Counter-check and verify that all ECDA Forms are duly completed and signed Counter-check and verify that the monthly ECDA GSII Report is in order and report any discrepancies to the ECDA officer immediately Maintain accurate administration records for child enrolment, withdrawal and parent subsidy claims Assist in placing orders in advance for food items and perishable and non-perishable items from suppliers Prepare and display up-to-date menu at the Parents' Notice Board and Kitchen Filing & General Administration Maintains accurate administration records for child enrolment, withdrawal and parent subsidy claims Assists in placing of orders in advance for food items (snacks for breakfast, tea), perishable and non-perishable items from Suppliers Prepares and displays up-to-date menu at the Parents’ Notice Board and Kitchen (any deviations / changes in menu, to be logged down immediately) Prepares and submits daily marketing list, petty cash claim forms, and other expenses Prepares approval memos, advice payment vouchers, medical and dental reimbursements Prepares and photocopies of correspondence/notices to parents and any other materials when required Conducts monthly stock check on items such as uniforms, stationery, toiletries etc Maintains a well-organised, tidy and clean office Undertakes any other duties as assigned by the Principal from time to time About you Possess at least GCE 'N' Level or GCE 'O' Level qualifications Minimum 1-3 years relevant experience Proficient in Ms. Office Able to work independently as well as in a team
