Position Purpose The Officer helps ensure that daily operations run efficiently, enquiries are handled promptly, and school events are well coordinated. This is a proactive, service‑oriented role that supports student affairs and school operations in a dynamic international school environment, involving direct engagement with parents and students, administrative support for academic programmes and school‑wide events, and close collaboration with the Senior Leadership Team and internal departments. Key Responsibilities Service & Enquiry Management Provide warm, professional, and solution‑oriented service to parents, students, and staff, aligned with the school’s ethos and values. Handle enquiries and communications efficiently through phone, email, and school platforms. Recognise and escalate complex parent or student concerns to the appropriate team (e.g., Family Partner, Academic, SLT). Communication Support Format all sorts of community communication(staff students parents) as needed, ensuring consistency with school templates and branding guidelines, in coordination with the Family Partner team. Student Records & Systems Support student records, documentation, and school systems to ensure accuracy, timeliness, and compliance with school policies. Assist with data entry, filing, and maintenance of student information systems. (e.g., attendance, meal ordering, bus taking, parent confirmation etc.). Daily Operations & Rotational Duties Support daily school operations and participate in rotational duties (e.g., phone call answering, lunch cover, reception) as part of a shared team rota. Work closely with internal departments including Family Partner, Academic Teams, Non Academic Teams, and Events working group to ensure seamless school operations. Participate in regular team meetings and contribute to process improvements. Senior Leadership Team (SLT) Support Provide administrative and coordination support to the Senior Leadership Team, as required (e.g., meeting scheduling, document preparation, follow‑up). Internal and External Support Provide comprehensive administrative and logistical support for school‑wide events and academic milestones (e.g., PTCs, graduation, sports days, examinations). Coordinate closely with academic and operational teams to support student‑related processes. Provide support for external/compliance work support, (e.g., EBD inspection and compliance checking) Requirement: Essential Qualifications & Experience Bachelor’s degree, preferably in IT background or a related field. Minimum 3 years of relevant experience in a school, educational institution, or service‑oriented organisation. Warm, service‑minded, detail‑oriented, and committed to supporting students, families, and the school community. Excellent organisational, communication, and interpersonal skills. Ability to multi‑task, stay calm under pressure, and work collaboratively in a dynamic environment. Knowledge, Skills & Attributes, Systems & Analysis Strong skills in MS Office applications. Familiarity with school platforms (e.g., ManageBac, PowerSchool) is an advantage. Familiarity with AI‑enabled administrative tools is an advantage. Communication · Fluent in English; Cantonese or Mandarin proficiency is an advantage. Desirable Experience in data process or digitalisation is highly desirable.
