Receptionist cum Administrative Assistant

About the role Join our dedicated healthcare team as a Receptionist cum Administrative Assistant at our Traditional Chinese Medicine (TCM) clinic. You will serve as the face of our clinic, welcoming patients warmly and supporting our daily operations through front desk management, administrative duties, and operational support. Key responsibilities Welcome patients warmly and handle registration for appointments and walk-ins Manage clinic appointment schedules via phone, messaging apps, and in-person inquiries Answer patient questions regarding consultation fees, treatment packages, and general clinic services with care and professionalism Process patient billing, collect payments (Cash, PayNow, Credit Card), and issue receipts accurately Assist with insurance claims and corporate billing procedures where required Maintain organized patient records (both hard copy and electronic) while ensuring patient confidentiality Assist Physicians and Therapists in maintaining a smooth patient flow Dispense packed Chinese proprietary medicine or herbs under the guidance of licensed physicians Monitor stock levels of clinic supplies, herbal medicine, and retail products, assisting with reordering and inventory counts Ensure the reception and waiting areas remain clean, tidy, and welcoming at all times About you Minimum 1 year of experience in a front-desk, customer service, or clinic receptionist role (TCM medical clinic experience is a strong advantage) Proficiency in English and Mandarin (to communicate effectively with Mandarin-speaking patients, physicians, and to read Chinese herbal labels/prescriptions) Basic computer literacy (MS Office, basic POS/clinic management software) Excellent interpersonal skills, a patient-centric mindset, punctuality, and strong attention to detail Minimum SPM/ GCE 'N' or 'O' Level / Higher Secondary / Diploma Benefits Medical & TCM benefits for employee Performance bonuses Annual leave and sick leave On-the-job training provided About us We are an established Traditional Chinese Medicine (TCM) clinic committed to providing compassionate, holistic care to our patients.
