SENIOR ADMINISTRATIVE OFFICER Job Summary We are seeking a highly organized, proactive, and versatile Senior Administrative Officer to oversee our firm's daily operations and support our regional workflows. This role acts as the operational backbone of the office, managing senior-level administrative tasks and providing critical logistical support to our day-to-day accounting, audit, and corporate secretarial teams, as well as handling cross-border administrative duties for our PRC branch and senior partners. Key Responsibilities / Job Duties I) Office Operations & Team Coordination Oversee daily office administrative workflows, facilities management, and procurement of office supplies. Supervise junior administrative staff or receptionists, ensuring high standards of front-desk and support services. Manage physical and digital archiving systems, ensuring confidential client data and internal corporate documents are systematically filed. Coordinate the dispatch and tracking of secure client couriers and registered mail. Coordinate internal schedules, arrange firm-wide meetings and activities, and manage travel logistics for partners and senior management. Provide robust clerical and administrative support to all departments and PRC branch office. II) Financial Administration & Billing Support Support daily accounting duties, including managing office petty cash logs, payment processing, staff disbursement/expense claim checking, and vendor invoice verifications for internal accounting approval. Prepare client billing invoices and keep various financial logs and registers accurately updated. Job Requirements & Qualifications Experience: 3+ years of solid administrative experience, ideally within an accounting firm, CPA firm, law firm, or corporate services provider. Candidates with less than 3 years of experience will also be considered, but the job title will be adjusted accordingly. Education: Degree, DSE, IVE, or Higher Diploma holder in Accounting, Business Administration, or a related discipline. Languages: Excellent command of written and spoken English and Cantonese; fluency in Putonghua is mandatory due to regular coordination with the PRC branch and cross-border paperwork. Skills: Proficiency in Microsoft Office Suite (Advanced Word formatting for reports, Excel for billing metrics). Attributes: Exceptional organizational skills with a proven track record of managing multiple tasks under tight deadlines. A proactive problem-solver with a strong sense of responsibility and ownership. High level of integrity with the ability to handle confidential client data discreetly. Availability: Immediately available candidates are highly preferred.
