The successful candidate will be detail-oriented, self-starting, time-effective and able to juggle competing priorities, and be responsive with the team and colleagues, in what is often a fast-paced environment. The role is an important and valued contributor to the success of the Corporate Legal and Compliance, as we support our colleagues to deliver care to UHN patients. Duties Organizes and maintains contract and data management systems to enable information filing/retrieval, in particular through Sharepoint with meaningful pathways to templates and projects, for access by Legal team and for other colleagues Project management and related meeting organization, from agenda development to follow-up with teams on deliverables and support, on day to day matters, transactions and long-term projects internal to the Legal team or in support of other departments Contributes to design and implementation of legal workflow processes, including intake and approval forms Communicates with senior executives and subject matter experts on compliance reporting Supports coordination of legal budgeting and invoice payment, legal retainer agreements, invoice follow up, and liaises with owners of relevant cost centres and external firms as appropriate or required. Directly supports UHN’s legal intern and student programs and assists with onboarding of new employees and students Supports the update of legal policies, and claims reporting and related document retrieval and organization Provides document production services, to support independent and team work, including intermediate to advanced MS word and visual presentation technology, data organization skills with Excel, PDF management to create, edit and coordinate digital documents Supports where required corporate governance responsibilities under direction of Chief Legal Officer for UHN’s board of trustees and various committees, including developing agendas; writing or editing briefings, notices, resolutions and meeting minutes; communicating with management and board members on the same; and tracking and filing standard corporate reporting Other tasks as assigned, including team meeting scheduling, arranging for appropriate technology, and requisitioning equipment supply and maintenance Collaborates with team, project coordinators, administrative staff, and other subject matter experts, within and outside of UHN, to accomplish the above Completion of a recognized medical or business post-secondary secretarial arts, business administration, or similar program, at the diploma level required. 3 to 4 years practical and related experience. Excellent time management and customer service skills. Very good verbal and written communications skills. Ability to work effectively and efficiently under pressure. Ability to use good judgment in navigating difficult situations. Ability to effectively handle confidential matters and materials. Knowledgeable and computer literate in the following software programs: Microsoft Office Suite (Word, Excel, PowerPoint), visual presentation tools (e.g. Presentations, Visio, related) and scheduling applications with 3rd parties (e.g. Doodle Poll or similar), and willingness to learn and use appropriate artificial intelligence tools.
