Key Responsibilities iTransplant System Integration: Act as lead coordinator for the implementation and integration of the iTransplant platform into clinical workflows. Liaise with internal stakeholders, ODTI and external vendors to ensure system configuration meets clinical and regulatory requirements. Lead on training, support, and troubleshooting of iTransplant use among staff. Ensure data migration integrity from existing systems into iTransplant. Collaborate with the ICT & ODTI team to ensure system stability, interoperability, and data security. Develop SOPs, user guides, and system usage protocols in collaboration with the Quality Manager. Database and Data Governance: Maintain and develop transplant-specific databases, including recipient and multi-organ donor datasets. Oversee data integrity, validation, and compliance with local and EU data legislation. Develop and maintain data entry, cleaning, validation, and extraction procedures. Automate reporting workflows where possible, ensuring timely updates for KPI reporting and quality audits. Liaise with external bodies such as NHSBT UK and ODTI for benchmarking and compliance reporting. Transplant Quality and Compliance: Ensure that data management processes align with national and EU regulatory frameworks. Support quality improvement initiatives, clinical audits, and inspection readiness. Serve as data lead in preparation for HPRA inspections, facilitating documentation, audits, and Q&A on data systems. Clinical and Operational Support: Manage, coordinate and Support MDT and M&M meetings by collating patients for M&M discussion, retrieving medical records for clinical preparation for the meeting, providing accurate and real-time data for the meeting. Document outcomes and track and audit patients discussed at M&M. Set up of the MDT and M&M meetings, set up of zoom/teams for remote attendees, troubleshooting PC’s and audiovisual in the MDT / M&M meeting room. Provide reports and insights to inform clinical decision-making and operational planning. Collaborate with clinicians to develop and refine minimum datasets for transplant patients and organ donors. Training and Continuous Improvement: Deliver ongoing training for staff on iTransplant and associated data procedures. Stay abreast of updates to iTransplant software and facilitate their integration. Identify areas for process improvement within transplant data workflows and implement solutions. Data Management Duties and Responsibilities: Database Management: Progress on-going development of database for Recipient and Multi Organ Donor Databases Translating clinical requirements and understanding of patient flow to develop electronic databases. Maintain and update quality standards for the data management process. Maintain and update validation procedures for Data and Equipment. Develop automated process to upload of information to NHSBT UK for benchmarking. Develop reports for data extraction from multiple sources. General Data Manager duties: Implement processes to support efficient collection of data at relevant points throughout the data pathway. Support the MDT process. Ensure and facilitate timely collection and inputting of data. Validation of data. To ensure collection, storage, and retrieval of relevant agreed clinical data for patients undergoing treatment under the care of the specialist unit in St. Vincent’s University Hospital. To ensure collection, storage, and retrieval of relevant agreed clinical data for donors as per the HPRA legal framework. Responsible for data quality and integrity to ensure completeness of data entry for the agreed minimum data set. To ensure data checks and controls are in place and regular monitoring takes place with any issues escalated as appropriate. To ensure data definitions are developed and agreed with relevant personnel as required. To develop and document essential policies and have them agreed with the team. To support the Responsible Person for Transplant and other relevant staff in the procurement of accurate data. To manage data requests from other external sources (e.g. research purposes, annual reports). To provide accurate and timely reports at unit level on an on-going basis. To create new reports when required. To work effectively with other key staff. To assist in the development of internal & external annual unit service plan and annual report. To assist with preparation of unit reports and action plans. To be an expert in the new system implemented to the Service. To assist in any further phases of development and implementation of enhancements to the system & provide ongoing training for staff in the use of the system. To liaise with the Vendor of the system/ODTI where required and appropriate. Any other duties associated to this post as required. Specific Transplant duties: Review Patient and Organ pathway to set up data collation processes for data input and analysis to accommodate a Multi Organ Transplant Centre. Follow Legal Framework (formed on the basis of National and European Legislation) and implement its recommendations during an initial start-up and or review of existing Transplant area. Key Stakeholder in Quality Steering Group and responsible for creation and implementation of processes and procedures relevant to data and compliant to National Legislation and EU Directive Formulate and document PPG / PPGC / FCT to be part of the Quality Management System distributed on QPulse. Primary advisor for specifications and development of Electronic Databases including Recipient Database, Multiorgan Donor Database and Donor Retrieval data collation for relevant data pathways. Upload information to NSHBT for Benchmarking and Peer to Peer review and be point of contact with NHSBT and ODTI for any queries. Demonstrate and promote data protection and confidentiality to adhering to specifics needs around transplant and organ donation. Obtain survival outcomes from external bodies liaising with Associated organisations / Coroners / State registered organisations. Work with auditors to facilitate external and internal audits and be a key participant in the audit. Continually review processes in place to ensure the Service is ready for inspections from external bodies for licencing with the HPRA or other accreditation bodies. Take lead in the presentation and Q&A for data related sections of the inspection. Facilitate and participate in Clinical Audit and audit schedule.
