Job Context To serve as the designated Superintendent Pharmacist, providing statutory oversight and accountability for the company's pharmaceutical operations in accordance with the Pharmacy and Poisons Act, Pharmacy and Poisons Board (PPB) regulations, applicable Good Distribution Practice (GDP), Good Regulatory Practice (GRP), and Good Vigilance Practice (GvP) requirements. Key performance areas: Regulatory Compliance and Statutory Oversight Serve as the appointed Superintendent Pharmacist with overall accountability for ensuring that the pharmaceutical business is conducted in compliance with the Pharmacy and Poisons Act, PPB regulations, and applicable quality and regulatory standards. Provide strategic oversight and statutory accountability for product registrations and re-registrations, retentions, variations, GMP applications and all other regulatory submissions as required by our Clients/Principals, ensuring continuous compliance with PPB requirements and uninterrupted access to the market for all products under the company's portfolio as Local Technical Representative. Manage the application, processing, approval and tracking of pharmaceutical import and export permits in accordance with the Pharmacy and Poisons Board (PPB), Anti-Counterfeit Authority (ACA), National Biosafety Authority (NBA), National Environment Management Authority (NEMA), Kenya Bureau of Standards (KEBS) and all other applicable government agency requirements and applicable legislation. Serve as the principal advisor to the Board and Executive Management on pharmaceutical legislation, regulatory compliance, and statutory obligations under the Pharmacy and Poisons Act and PPB regulations. Ensure pharmaceutical operations are conducted under the personal supervision and control of a registered pharmacist in compliance with the Pharmacy and Poisons Act and PPB requirements. Product Quality and Quality Management Systems Establish, implement, and maintain effective Quality Management Systems (QMS) that ensure product integrity throughout the supply chain. Ensure SOPs, work instructions, quality standards, change controls, CAPAs, deviations, and non-conformance processes are maintained and regularly reviewed. Oversee product quality reviews, product quality complaint receipt and investigations, trend analysis, corrective actions, and continuous improvement initiatives. Ensure quality agreements are maintained with manufacturers, marketing authorization holders, vendors, and third-party service providers. Supply Chain Compliance and Oversight Ensure appropriate product receipt, storage, handling, distribution, returns, recalls, quarantine management, and destruction of pharmaceutical products according to Good Distribution Practices and DP World SOPs. Maintain oversight of ambient and cold-chain storage conditions, environmental monitoring, FEFO compliance, and warehousing standards. Verify that pharmaceutical products are supplied only to authorized and licensed entities and transported using compliant distribution practices. Pharmacovigilance and Patient Safety Act as the Qualified Person for Pharmacovigilance (QPPV) as appointed by DP World Clients/Principals and ensure compliance with local pharmacovigilance regulations. Oversee adverse event report collection and timely communication to DP World Clients/Principals and maintenance of PV safety databases. Oversee timely submission of Risk Management Plans, Individual Case Safety Reports (ICSRs), and Aggregate Reports (PSURs/PBRERs) as received from the Clients/Principals according to PPB regulations and timelines. Ensure pharmacovigilance agreements are maintained with marketing authorization holders and third-party service providers. Ensure 24-hour availability for pharmacovigilance matters and regulatory safety concerns as required by PPB. Audit, Inspection and Risk Management Support internal and external audits, client audits, and lead PPB inspections. Ensure timely closure of audit findings, CAPAs, compliance gaps, and regulatory observations. Report significant quality, safety, counterfeit, theft, recall, and compliance-related risks to management, clients, and regulatory authorities as required Leadership and Governance Provide leadership to Product Quality and Regulatory Department to drive performance a culture of compliance and continuous improvement. Ensure staff training, competency management, and adherence to GDP/GWP/GRP/GvP and PPB requirements. Drive operational excellence while ensuring that quality, patient safety, and regulatory obligations remain uncompromised. Maintenance of Environmental Management System Support business EMS objectives through responsible resource usage and waste management. Ensure accurate reporting of environmental data and compliance with sustainability targets Qualifications required: Bachelor’s degree in pharmacy Registered Pharmacist with the Pharmacy and Poisons Board Valid PPB practicing license Skills and Experience required: 8 years' experience in regulatory compliance, quality management, pharmacovigilance, and supply chain operations Excellent understanding of pharmacy laws, regulations, and ethical standards Exceptional stakeholder and client management skills High‑impact leadership and people development skills Risk management and governance expertise High level of integrity and professionalism Conflict resolution and negotiation skills Knowledge of ERP System preferably SAP Proficiency in Microsoft Office applications About DP World Trade is the lifeblood of the global economy, creating opportunities and improving the quality of life for people around the world.
