We pride ourselves on utilizing cutting-edge technology and maintaining a highly collaborative clinical environment. We are looking for an enthusiastic and organized Front Desk Receptionist to be the first point of contact and help us provide an unparalleled, welcoming experience to our patients. Essential Duties & Responsibilities Patient Experience & Check-In: Provide a warm, elevated, and welcoming experience for all patients, flawlessly managing the check-in and check-out process. Performance KPIs & Patient Retention: Actively drive practice growth by meeting specific Key Performance Indicators (KPIs). This includes consistently hitting patient rebooking targets, proactively acquiring new Google and Yelp reviews, and ensuring every patient profile is meticulously maintained to all current practice standards. Patient Journey & Clinical Support: Support patients throughout their entire aesthetic journey, which includes capturing clinical photos and assisting with administering numbing cream prior to treatments. Provide direct operational support to the clinical providers and skin experts whenever asked, ensuring a smooth, efficient patient flow. Schedule Management: Manage appointment schedules efficiently, including booking, confirming, and rescheduling appointments to optimize provider time. Communications: Answer phone calls and emails promptly and professionally, addressing patient inquiries and providing accurate information about our treatments and services. Transactions & POS: Process patient payments accurately, manage the point-of-sale system, and handle daily drawer reconciliation. Facility Upkeep & Luxury Standards: Maintain the pristine cleanliness, organization, and professional appearance of the practice to our strict luxury standard. You must possess a sharp eye for detail—noticing when things are out of place and immediately fixing them. This includes managing the daily upkeep and sanitation of the reception area, kitchen/break room, bathrooms, treatment rooms, and common areas, as well as handling operational tasks like folding towels to ensure the spa remains immaculate at all times. General Administration & Operations: Assist with tracking inventory utilizing Google Sheets, process incoming shipments, and maintain accurate patient records by uploading clinical photos into Boulevard. Perform any and all other operational, administrative, or practice support duties as assigned by management to ensure the seamless operation of the business. Patient Education & Business Development: Educate patients on treatment procedures, aftercare, and product usage, addressing any questions they may have. Actively support business development by guiding patients toward complementary medical-grade skincare and services. Compliance: Strictly adhere to all company policies, procedures, and local, state, and federal regulations, specifically those related to patient confidentiality (HIPAA), safety, and ethical conduct. Social Media & Digital Presence: Embrace our digital marketing strategy. The medical spa industry is heavily social media-driven, making a digital presence a necessary adoption for every position at Curiva Med Spa. You must be comfortable being filmed in the office, participating in on-camera content, and helping showcase the practice's culture online. Event Support: Assist with and represent Curiva Med Spa at off-site networking events, industry showcases (such as the Bridal & Wedding Expo at the Los Angeles Convention Center), and in-house device demo days. Occasional availability will be required for these events to actively engage with prospective patients. Required Qualifications Previous experience in a medical spa, dermatology practice, or high-end hospitality environment is highly preferred, but not strictly required for the right candidate. Exceptional interpersonal and communication skills with a strong, patient-first mentality. Conflict Resolution & Customer Recovery: Strong problem-solving skills with the ability to handle scheduling conflicts, enforce cancellation policies gracefully, and de-escalate patient concerns with empathy and professionalism. Multitasking & Time Management: Ability to thrive in a relatively fast-paced environment, possessing strong multitasking capabilities to juggle administrative tasks and patient care seamlessly. Work Hours & Scheduling: Flexible scheduling availability, including the willingness to work occasional Saturdays and overtime as dictated by business needs. Professional Appearance: Must maintain a polished, professional appearance and demeanor at all times, reflective of a premier Beverly Hills aesthetic and wellness destination. Physical Ability: Ability to safely lift and move up to 35 pounds to assist with receiving incoming packages, managing inventory, and general day-to-day operations. Comfortable operating in a modern, digitally-forward practice and eager to participate in brand-building through social media. Preferred Qualifications Educational Background: A formal college degree or educational background is a nice-to-have, but not required. We value your attitude, work ethic, and practical skills far more than a specific diploma. EHR Experience: Familiarity with Boulevard, our Electronic Health Record (EHR) and scheduling system, is a nice-to-have but not necessary (we can easily train the right candidate). Compensation & Benefits Compensation: $18.00 – $21.50 per hour, commensurate with experience. Paid Sick Leave: Provided in accordance with California state and local laws.
