Position Summary The Workday HRIS Specialist — Time Tracking, Absence & Recruiting administers, configures, and supports the organization's Workday Time Tracking, Absence, and Recruiting modules, serving as the functional subject matter expert for timekeeping, leave/absence, and recruiting technology. The role partners closely with Payroll, HR, Talent Acquisition, Benefits, HR Operations, and IT to ensure Workday configuration supports business requirements, regulatory compliance, accurate payroll processing, and a strong employee and candidate experience — with hands-on responsibility for configuration, business processes, reporting, testing, troubleshooting, integrations, security, and continuous improvement. Key Responsibilities Workday Time Tracking Serve as the primary functional resource for Time Tracking; configure and maintain time entry processes, templates, calculations, calculation tags, time blocks, work schedules, and eligibility rules. Maintain and troubleshoot time entry validations, approvals, notifications, and business processes. Configure time-related pay rules, including overtime, shift differentials, meal and rest periods, holiday pay, premium pay, call-back and reporting pay, minimum-hours rules, time rounding, and work schedules/workweeks. Partner with Payroll to ensure time calculations flow accurately into payroll; troubleshoot missing or incorrect results and support retroactive time adjustments. Monitor time-related integrations, scheduled processes, and exceptions, including time clock and third-party timekeeping integrations. Develop reports and audits to proactively catch timekeeping issues before payroll processing; assist with configuration supporting federal, state, and local wage-and-hour requirements. Workday Absence Serve as the primary functional resource for Absence; configure and maintain time off plans, leave types, accruals, eligibility rules, balance calculations, carryover and maximum balance rules, waiting periods, period schedules, and time off requests/approvals. Troubleshoot employee time-off balances and accrual calculations; support leave-of-absence business processes and related transactions. Partner with HR and Benefits on leave programs and statutory requirements; coordinate Absence configuration with Time Tracking and Payroll for accurate downstream processing. Support retroactive absence corrections/adjustments and year-end/plan-year rollover activities. Develop reports and audits to identify negative balances, incorrect accruals, missing eligibility, and other exceptions. Support testing and implementation of new or revised time-off and leave programs. Workday Recruiting Serve as the primary functional resource for Recruiting; configure and maintain business processes covering job requisitions, job postings, candidate applications, screening, interviews, assessments, offers, background checks, pre-employment activities, and hire processes. Maintain recruiting questionnaires, disposition reasons, candidate stages, notifications, templates, and approval workflows. Partner with Talent Acquisition and HR to improve recruiter, hiring manager, and candidate experience; troubleshoot business process and workflow issues. Support internal and external career sites and job posting integrations, plus integrations with job boards, background-check providers, and assessment vendors. Support recruiting reporting and analytics (time-to-fill, candidate pipeline, requisition status, hiring activity, recruiter metrics) and assist with mass updates and data corrections. Identify opportunities to automate recruiting processes and reduce administrative work for recruiters and hiring managers. Cross-Functional Workday Responsibilities Configuration & Business Processes Evaluate business requirements and translate them into scalable Workday configuration, including business processes, condition rules, approvals, validations, notifications, and routing. Assess downstream impacts of configuration changes across Time Tracking, Absence, Recruiting, Core HCM, Payroll, Benefits, and integrations. Maintain configuration and process documentation, and follow established change-control and configuration-management procedures. Reporting & Data Develop and maintain custom reports, dashboards, calculated fields, and audit reports; create operational reports for Payroll, HR, Talent Acquisition, and HR leadership. Perform regular data audits to proactively identify system or data-quality issues. Create and process EIBs and other mass data updates; support ad hoc reporting and data-analysis requests. Testing & Workday Releases Develop test scenarios and coordinate functional and regression testing for configuration changes, enhancements, and integrations, with particular emphasis on downstream payroll impacts. Participate in Workday's semiannual release process; review new functionality for Time Tracking, Absence, and Recruiting and recommend adoption opportunities. Document testing results and obtain appropriate business approval before production deployment. Security & Controls Support Workday security for Time Tracking, Absence, and Recruiting, including troubleshooting role assignments and user-access issues. Partner with HR and IT to ensure appropriate access to sensitive employee and candidate information, and support periodic security and business process reviews. Maintain controls and documentation to support internal and external audits. Qualifications Required Bachelor's degree in Human Resources, Information Systems, Business Administration, or related field, or equivalent professional experience. 3–5 years of HRIS or HR technology experience, with hands-on Workday configuration and support experience. Experience with at least two of the following Workday functional areas: Time Tracking, Absence, Recruiting. Strong understanding of Workday business processes, condition rules, eligibility rules, and reporting; experience troubleshooting complex configuration and data issues. Strong analytical and problem-solving skills, attention to detail, and commitment to data accuracy. Ability to translate business requirements into system solutions and manage multiple priorities across functional teams. Preferred Advanced experience with Workday Time Tracking and/or Absence, and experience supporting Workday Recruiting. Understanding of the relationship between Workday Time Tracking, Absence, and Payroll, including wage-and-hour concepts (overtime, premium pay, workweeks, meal periods, timekeeping requirements). Experience with Workday custom reports and calculated fields, creating and processing EIBs, Workday security, and troubleshooting integrations. Experience supporting Workday's semiannual release process. Advanced Microsoft Excel skills. Workday Pro accreditation or formal Workday training in Time Tracking, Absence, Recruiting, or related areas.
