Job Position: Title: Administrative Assistant – Payroll & Finance Support Shift: Onsite / Midshift (2:00PM to 11PM) Work Week: Mondays thru Saturdays Role Summary: The Administrative Assistant – Payroll & Finance Support provides day-to-day administrative support with a primary focus on payroll coordination, employee-related statutory contributions, financial documentation, vendor payments, and compliance support. The role also assists with employee records, permits, recruitment documentation, and operational administrative initiatives as needed. Key Responsibilities: Payroll & People Administration. Finance & Accounting Support. Administration & Compliance. Operations & Talent Acquisition Support. Key Working Relationships: Reports to: Accounting & Finance. Works closely with: Office Operations Manager, Accounting & Finance , Talent Acquisition, Operations, and External Accounting Service. Role Focus: Primary: Payroll, employee administration, finance documentation, and payment coordination. Secondary: General administration, compliance documentation, and operational support. Qualifications: Bachelor's degree in Business Administration, Accounting, Finance, Human Resources Management, Management Accounting, or a related field. Candidates with relevant vocational or professional training combined with strong practical experience in payroll and administration may also be considered. Preferably 2–4 years of experience in administration, payroll support, finance administration, HR administration, or a similar role. At least 1–2 years of hands-on exposure to Philippine payroll and statutory employee contributions is strongly preferred. Experience working in a private-sector company in the Philippines is preferred. Experience in a startup, BPO, professional services, shared-services, or international company environment is an advantage. Experience coordinating with an external accounting firm or payroll provider is highly desirable. Philippine Payroll & Labor Compliance Knowledge such as payroll preparation and payroll cutoff, procedures, attendance, leave, overtime, holiday, and employee deduction validation. Government Contribution Administration. Basic understanding of the Philippine Labor Code and DOLE requirements. Ability to monitor changes in government contribution rates and employment requirements. Philippine Tax & Finance Knowledge. Administrative & Compliance Skills. Finance Administration Skills. Strong working knowledge of Microsoft Excel or Google Sheets. Good written and verbal communication skills in English. Ability to communicate clearly with employees, vendors, government agencies, external accountants, and management. Ability to prepare concise administrative and financial reports. Key Competencies: High attention to detail Accuracy with numbers Confidentiality and discretion Strong organizational skills Deadline management Follow-through and accountability Problem-solving ability Ability to work independently Ability to coordinate across Finance, Operations, HR/TA, and external providers Willingness to learn Philippine regulatory updates Salary range: ₱25,000 – ₱28,000 gross monthly (Based on the relevant work experience)
