About the Client A medical device manufacturing organization based in Carlsbad, CA is seeking a Customer Service Associate to serve as liaison between external customers and internal manufacturing, supply chain, & distribution lines. Position Overview The Customer Service Associate (CSA) owns the link between customer demand and manufacturing execution, functioning as a liaison for the customer-facing side of the production floor. This role ensures every customer product need is met on time, in full, by driving alignment between the production schedule, inventory strategy, and the customer demand forecast. The CSA leads a cross-functional effort spanning supply chain planning, purchasing, distribution logistics, and accounting coordination, ensuring a positive customer experience. Responsibilities Serve as the primary point of contact for customers regarding purchase orders, order status, product availability, shipment information, and general inquiries. Receive, review, and accurately enter customer purchase orders into the ERP/order management system ensuring accuracy and precision Verify purchase orders for product numbers, quantities, pricing, customer information, requested delivery dates, shipping requirements, and other applicable terms. Identify and resolve discrepancies between customer purchase orders, quotations, contracts, and internal pricing or ordering requirements. Provide customers with order acknowledgments and updates regarding order status, account-related matters, changes, delays, or other issues. Monitor open orders and proactively communicate potential delays or fulfillment issues to customers. Process order changes, cancellations, returns, credits, and other customer requests in accordance with company policies and procedures. Coordinate with internal departments such as manufacturing, distribution, and operations to ensure customer orders are processed and fulfilled accurately and on time. Perform other job-related duties as assigned. Requirements High school diploma or equivalent; associate degree or relevant college coursework preferred. 2+ years of customer service, order management, sales support, or administrative experience, preferably within manufacturing, healthcare, pharmaceutical, or medical device industries. Experience processing purchase orders and working with an ERP or order management system Strong attention to detail and accuracy. Excellent verbal and written communication skills. Strong organizational and time-management skills with the ability to manage multiple priorities. Proficiency with Microsoft Office, particularly Outlook and Excel. Ability to work effectively with customers and cross-functional teams. Preferred Experience in a regulated medical device or other FDA-regulated manufacturing environment. Familiarity with ERP systems such as SAP, Oracle, NetSuite, or similar platforms. Understanding of ISO, FDA Quality System requirements, or other applicable medical device quality requirements. Experience supporting distribution, fulfillment, inventory, or manufacturing operations. Work Environment and Physical Requirements This is an on-site position requiring regular in-office attendance based on business needs and company policy. Work is primarily performed in a professional office and manufacturing/distribution environment. Requires prolonged periods of sitting and working at a computer, including frequent use of a keyboard, mouse, and multiple computer monitors. Must be able to communicate effectively via telephone, video conferencing, and in person. Requires the ability to review, analyze, and interpret financial data, reports, and electronic documents with attention to detail. May occasionally be required to move or transport office materials weighing up to 15 pounds. Requires the ability to remain stationary for extended periods while performing analytical and administrative tasks.
