We are seeking a receptionist for our busy law firm. You are the first point of contact with our firm, and your role includes many administrative duties which requires you to communicate effectively and positively with clients, individuals, other firms, companies and personnel. This is a full-time in office position. The scheduled hours of work are 9:00am-5:00pm, Monday-Friday. Duties and Responsibilities: * Answer and direct all incoming phone calls on a multi-line system in an efficient, polite and friendly manner; * Maintain in and out board with lawyers whereabouts and staff absences; * Greet all clients warmly upon arrival, notify appropriate lawyer or staff; * Tidy and maintain reception area and boardroom following meetings; * Respond to all incoming reception emails in a timely fashion; * Receive and distribute all incoming mail, couriers and deliveries; * Arrange all outgoing couriers; * Prepare and process all outgoing mail; arrange for outgoing registered mail as required; * Receive and forward incoming faxes through email; * Receive, process and provide receipts for payments made over the phone and in-person; * Open new files in Time Matters for the firm; * Oversee boardroom calendar and ensure it is kept updated throughout the day; * Register lawyers for professional courses as requested; * Retrieve files from off-site storage as requested; return files as needed; * Carry out all internal conflict checks through our various databases; * Organize the firm?s Casual Friday charity donations; * To complete any other duties as assigned.
