About Esperlus Esperlus is a *luxury waterfront event venue located in Downtown Vancouver*, specializing in weddings, corporate events, private celebrations, and a wide range of social and professional events. We provide our clients with a *full-service, A-to-Z event experience*. We work closely with each client to customize their event and coordinate all aspects from the initial inquiry and contract stage through event execution and final teardown. Position Overview We are looking for an experienced and highly organized *Sales assistant & Event Coordinator Assistant* to join our team. The ideal candidate must have *a minimum of 2 years of relevant experience in the event industry*, preferably working directly within an *event venue, banquet hall, hotel, or event space*. Experience in sales alone is not sufficient for this position. We are specifically looking for someone who understands the event industry, venue operations, client management, event coordination, contracts, vendors, and the fast-paced nature of live events. This position combines *sales, client relations, event coordination, contract management, marketing, and event operations*. The successful candidate will work closely with clients, management, staff, vendors, caterers, decorators, DJs, photographers, and other event professionals to ensure every event is properly planned and executed. Key Responsibilities *Sales & Client Relations* * Respond to incoming phone calls, emails, inquiries, and event leads in a professional and timely manner. * Communicate with prospective and existing clients and understand their event requirements. * Conduct venue tours and present Esperlus services, packages, and event options. * Prepare quotations, proposals, packages, and customized event plans. * Promote and professionally represent the Esperlus brand and services. * Follow up with leads and clients throughout the sales process. * Build strong and professional relationships with clients. * Confidently discuss pricing, services, packages, and contract terms with clients. *Contract Management* * Prepare, review, explain, and coordinate event contracts and addendums. * Be comfortable and knowledgeable with contract terms, pricing, payment schedules, policies, and event requirements. * Ensure all client-requested additions, changes, and services are properly documented. * Follow up on deposits, payments, signed contracts, and required documentation. * Maintain accurate client and event records in our systems. *Event Coordination & Operations* * Coordinate events from the initial planning stage through event completion. * Communicate and coordinate between clients, venue management, staff, and vendors. * Coordinate vendor access and ensure required vendor information and agreements are completed. * Assist with event timelines, floor plans, setup requirements, and event logistics. * Assist with pre-event setup and post-event teardown. * Monitor event-day operations and help resolve issues quickly and professionally. * Ensure the event follows the agreed timeline, contract, and venue policies. * Be present and actively involved during events when required. *Marketing & Business Development* * Assist with promoting Esperlus and introducing our venue and services to potential clients and companies. * Support corporate and wedding sales initiatives. * Develop and maintain relationships with event planners, corporate clients, vendors, and industry partners. * Assist with marketing activities, outreach, and client follow-ups.
