We are seeking a highly organized, detail-oriented Administrative Coordinator to join our property management team. This role is ideal for someone who enjoys a fast-paced environment, is an excellent communicator, and can confidently coordinate between condo boards, residents, vendors, building managers, and property management staff. Key ResponsibilitiesPlan, organize, and coordinate Annual General Meetings (AGMs), including meeting preparation, scheduling, documentation, and follow-up.Communicate professionally with condo boards, residents, vendors, and in-house building managers.Coordinate pest control services, including scheduling, resident communication, vendor coordination, and follow-up.Assist with insurance claims, coordinating information and communication between insurers, property managers, residents, contractors, and other parties.Schedule and coordinate building and unit repairs, ensuring clear communication between unit owners, residents, vendors, and building managers.Coordinate access to units and common areas for contractors and service providers.Track maintenance requests, repairs, inspections, and outstanding items to ensure timely completion.Obtain and coordinate vendor services and follow up on quotes, appointments, work orders, and invoices.Maintain accurate records, correspondence, schedules, and property-related documentation.Provide administrative support to property managers and condo boards as required.Respond to inquiries and resolve routine issues with professionalism, efficiency, and excellent customer service.Excellent organizational and time-management skills.Strong written and verbal communication skills.Professional, friendly, and confident when dealing with residents, condo boards, vendors, and contractors.Able to manage multiple priorities and deadlines simultaneously.Strong attention to detail and follow-through.
