The BTL & Activation Specialist supports the sourcing, costing, and execution of BTL activations, events, and other on-ground marketing activities. The role focuses on identifying, evaluating, and managing reliable suppliers, production partners, venues, manpower providers, fabricators, and other service providers needed for successful campaign execution. The position works closely with Account Management, Creative, Finance, and Operations to translate campaign requirements into practical and cost-effective solutions. Summary Supplier & Partner Management Source, evaluate, and manage reliable suppliers and production partners for BTL and on-ground activations. Build and maintain a supplier database and strong vendor relationships. Assess supplier capabilities, pricing, quality, reliability, and capacity. Monitor supplier performance and negotiate competitive rates, payment terms, and other commercial conditions. BTL & Activation Sourcing & Costing Source suppliers, venues, manpower, and production solutions based on campaign requirements and client briefs. Support sourcing for brand activations, roadshows, mall/retail activations, trade events, sampling, product launches, exhibitions/booths, pop-ups, experiential marketing, POSM, logistics, and production. Scout and recommend suitable suppliers, venues, fabricators, and manpower providers. Request, compare, and analyze supplier quotations and prepare cost estimates. Support proposal and budget development with Account Management and Operations. Identify cost-saving opportunities while maintaining quality and campaign requirements. Provide cost comparisons, recommendations, and identify potential risks or hidden costs. Help monitor project costs against approved budgets. Activation & Production Execution Coordinate with suppliers and internal teams from pre-production to project completion. Ensure suppliers understand project requirements, timelines, quality standards, and deliverables. Coordinate production schedules, installations, dismantling, logistics, and other pre-production requirements. Support site visits, supplier meetings, and on-ground execution when needed. Help ensure campaign materials, equipment, and manpower are ready for execution. Procurement, Documentation & Compliance Follow company procurement, production, and financial policies and procedures. Manage supplier-related documentation, including quotations, canvass documents, POs, contracts, delivery documents, and other records. Maintain accurate and updated supplier and pricing databases. Coordinate with Finance on billing, invoices, payments, and supporting documents. Ensure documentation is complete and properly filed for audit and BIR requirements. Understand campaign objectives, requirements, and commercial considerations. Work closely with Account Management, Creative, Operations, and Finance to deliver project requirements. Provide recommendations on suppliers, production methods, materials, timelines, and costs. Support campaign planning, supplier briefings, production meetings, and post-project evaluations. Help develop supplier packages, production standards, and cost benchmarks. Ensure suppliers and production partners meet agreed commercial, quality, safety, and ethical standards. Maintain professional and transparent supplier relationships. Ensure fair and compliant supplier selection and negotiation processes. Escalate supplier performance issues, commercial concerns, or potential conflicts of interest.
