Summary of Work Activities and Responsibilities: The Accounting Assistant III is responsible for maintaining and organizing the inventory of the University’s fixed assets. The position will also assist during student enrollment and in reconciliation of accounts. Main Duties and Responsibilities: I. Asset Management Support Maintains inventory of the University’s fixed assets Prepares and affixes barcodes to fixed assets, in coordination with the outsourced service provider Coordinates with various Ateneo units for updating of inventory list Coordinates with government units and international funding agencies on tagging of assets acquired by the University from externally funded projects Encodes newly acquired fixtures and equipment into the Microsoft Great Plains module Updates the Ateneo Movable Assets Management System to reflect the assignees and movements of assets (e.g., acquisition, transfer, sale, donation, etc.) Generates list of fixed assets and equipment for reports Prepares memos containing list of acquisitions for insurance coverage purposes Recommends retirement of assets across the University, in accordance with established University policies Prepares monthly depreciation reports of the University’s Buildings and Land Improvement, for review of Accounting Supervisor and approval of the Head II. Section Support Collates various data and reports to assist in month end close activities including reconciliation of accounts to properly support various accounting report requirements Liaises in and out of the University to transact accounting documents III. Performs other duties as may be assigned by the immediate supervisor, or any authorized representative Knowledge, Skills, and Abilities: Technological Savvy: Ability to utilize information technology and computer and internet systems to accomplish tasks Administrative Support: Knowledge of administrative and office procedures and systems such as word processing, managing files and records, designing forms, and workplace terminology Customer Service Skills: Ability to understand client perspectives and respond to their needs with urgency and serious attention Service Orientation: Actively looking for ways to help people; Ability to relate with client well-pleasing, warm, patient and respectful in dealing with people Time Management: Managing one's own time and the time of others Coordination: Adjusting actions in relation to others' actions Education and Experience Requirements: Bachelor’s degree Accounting, Finance, or any related course At least six (6) months to one (1) year of work experience in clerical accounting
