Position Summary The Operations Manager leads daily New York operational workflow across fulfillment, inventory, and shipping activities. This role organizes staffing and priorities, monitors productivity and accuracy, manages inventory reconciliation, and resolves shipping and invoice discrepancies. The role works closely with Pharmacy, Warehouse, Inventory Control, Purchasing, Customer Success, Finance, and other operational teams to keep orders moving safely, accurately, and on time. Key Responsibilities Daily Operations and Team Leadership Plan and oversee daily operational workflow across the New York locations, including fulfillment, inventory, and shipping priorities. Assign work, communicate daily expectations, monitor progress, and adjust staffing or priorities when volume or operational needs change. Provide day-to-day direction, coaching, training, and performance feedback to assigned employees. Monitor workflow for delays, bottlenecks, order exceptions, quality concerns, and incomplete work and coordinate timely resolution. Maintain clear communication with the Director of Operations regarding staffing, productivity, service risks, and significant operational issues. Support accurate shift handoffs and ensure open priorities, escalations, and incomplete items are communicated. Inventory Reconciliation Oversee routine inventory reconciliation activities and help ensure that physical inventory agrees with system records. Review cycle-count and spot-check results, investigate discrepancies, and ensure approved adjustments are entered accurately. Partner with Inventory Control, Warehouse, Purchasing, Pharmacy, and Laboratory teams to identify the causes of inventory differences and prevent repeat issues. Monitor low-stock, out-of-stock, damaged, misplaced, and approaching-expiration inventory and escalate risks that may affect operations. Promote accurate receiving, labeling, storage, movement, documentation, and first-in, first-out inventory practices. Shipping and Invoice Management Oversee daily shipping workflow, order staging, carrier pickups, labels, manifests, tracking information, and shipment documentation. Review delayed, returned, damaged, missing, or otherwise exception-based shipments and coordinate follow-up with the appropriate internal team or carrier to determine corrective actions to reduce preventable returns. Investigate shipping invoice discrepancies, including duplicate charges, incorrect rates, unexpected surcharges, service-level errors, and billing inconsistencies. Work with carriers, vendors, and Finance to obtain corrections, credits, supporting documentation, or other appropriate resolution for invoice discrepancies. Monitor shipping costs, carrier performance, service failures, and recurring discrepancies and report trends or improvement opportunities to the Director of Operations. Process, Compliance, and Reporting Track operational measures such as volume, productivity, accuracy, aging work, inventory discrepancies, shipment exceptions, and service performance. Prepare routine operational updates and use performance information to identify workflow and process improvements. Maintain and reinforce current procedures, training materials, documentation expectations, safety requirements, and escalation paths. Partner with Pharmacy, Quality, Compliance, Customer Success, Finance, and other teams to resolve operational concerns and support inspection readiness. Ensure operational records are accurate, complete, organized, and available for management review, audits, or inspections. Promote a safe, organized, professional, and productive work environment. Perform other duties as assigned to support pharmacy operations, patient safety, and regulatory compliance. Qualifications Required Qualifications Previous operations-management experience in fulfillment, warehouse, shipping, distribution, pharmacy operations, or a similar environment. Experience leading employees, assigning work, managing priorities, and addressing day-to-day performance or workflow concerns. Experience with inventory reconciliation, cycle counts, inventory adjustments, and discrepancy investigation. Experience overseeing shipping operations and resolving carrier, delivery, or shipping invoice discrepancies. Strong organizational, analytical, problem-solving, and decision-making skills. Ability to manage multiple deadlines and communicate clearly with employees, leadership, vendors, carriers, and cross-functional teams. Proficiency with inventory, shipping, order-management, or related operational systems and Microsoft Excel or similar spreadsheet software. Strong attention to detail and the ability to maintain accurate operational records. Moderate proficiency in Microsoft Excel, including formulas, sorting, filtering, data organization, and basic data analysis; willingness and ability to continue developing Excel skills. Data-driven decision-making. Preferred Qualifications Experience in pharmacy, healthcare, pharmaceutical fulfillment, manufacturing, or another regulated environment. Experience using performance metrics and workflow data to improve accuracy, efficiency, cost, or service levels. Experience working across multiple operational locations or coordinating shared workflows between sites.
